Qualifications: Construction Services is looking for an industrious individual to share our goals to deliver excellent customer service, and who recognizes the importance of personal accountability, to join our Administrative Support Group as a Specialist. Candidates should possess excellent interpersonal, leadership, organizational and oral/written communication skills. Candidates must have the skills necessary to create a positive and productive team environment amongst direct reports, peers, customers, and all levels of management. Candidates must possess a high energy level, promote a positive work ethic, and demonstrate the ability to influence, lead and work as a team to meet department goals and organizational initiatives. The Specialist must be able to exercise independent judgement and possess the ability to render sound business decisions. The Specialist must have a strong attention to detail, the ability to handle changing priorities, and the ability to meet deadlines. Thorough knowledge of Microsoft Office and rules relating to pay for union employees are required. Hands on experience working with MAXIMO is preferred. Hands on experience working within WMS/Logica are required. To be eligible for this position, candidates must possess a High School Diploma/GED with five (5) years relevant experience, or an Associate’s Degree with four (4) years relevant experience, or a Bachelor’s Degree with two (2) years relevant experience. Internal union candidates applying to this position will be required to successfully complete the TEAM program.

A Bachelor’s Degree is preferred, as well as prior supervisory experience. Prior work experience within Construction, Electric Operations, or Customer Operations is preferred.

Responsibilities: The Specialist will oversee the validation, quality, and input of labor and expense data. Ensure accurate and timely reporting of payroll transactions, and other performance and statistical data. The Specialist will provide direct oversight of union employees and contracted personnel responsible for performing administrative and customer support for all departments within Construction Services. The Specialist will act as a liaison between Construction Services’ Street Operations Section, Information Technology, Human Resources, Payroll, and the Employee Wellness Center (EWC) on time and attendance issues; including the processing of problems relating to job content, skill requirements, work practices/assignment, and working conditions. The Specialist will be directly responsible for tracking and maintaining resource allocation, will monitor and oversee data entry within WMS/Logica, MAXIMO and HR Payroll, and approve timecards for labor force on a weekly basis. Additionally, the Specialist will oversee job package preparation, work build-out and condition management, fulfillment of prerequisites, and the administration of customer appointments within CRMS. The Specialist will instruct and train the administrative staff and management team on systems utilized by Construction Services such as MAXIMO, WMS, CRMS, and the HR Payroll System. The Specialist will also serve as a coordinator for emergency response for Construction Services. The Specialist will provide guidance to employees and management staff on questions relating to pay and time off. The Specialist will delegate and coordinate work assignments for weekly administrative staff to ensure timely and efficient completion of assignments. Candidates must ensure that the Human Performance Improvement (HPI) tools are incorporated into daily work activities. Perform general supervisory functions and serve as a direct support to the Manager. Ensure implementation of Company safety, health and environmental programs for employees whose work is directed. The Specialist will be required to communicate with employees in the union and all levels of management. Ensure that safe work practices are followed and the environment is fully protected in accordance with Company policy and governmental regulations. The Specialist must be committed to fostering a Zero Accident Culture, Diversity and Inclusion, Achieving Operational Excellence, Developing an effective Cost Management Culture and Enhancing the Customer’s Experience. Must be committed to the Way We Work Principles, and adherence to the Company’s Standards of Business Conduct and other Company procedures including Environmental, Health and Safety (EH&S).

Physical Requirements: Valid driver’s license required and must be able to travel to various locations throughout the service territory. Must be available to work extended hours during emergencies, as required.
